What the app stores

The information you choose to enter can include children's names, optional birthdays, photos, colours and private notes; helpers' names, relationships and contact details; club contacts; activities, schedules, term dates and holidays; taking and collecting assignments; venue and parking details; manually entered home postcode and journey times; kit checklists; fee and payment records; club photos; and the original text you import.

These records are saved locally in the app's Application Support storage. The current workspace is held in ClubCircuit/family.json; a previous-save file may be kept for recovery. There is no automatic family synchronisation service. The app does not track your location or use your contacts database to populate people automatically.

Files, photos and text recognition

You choose photos and files through system pickers. Recognition of text from screenshots, images and PDFs uses Apple Vision on your device. Field extraction is local logic, not a remote or generative AI service. Selected profile and club photos are resized and stored as JPEG copies with image metadata removed.

Original imported text can contain personal information. It remains available locally for reference and is included in a full family backup. Temporary image, import and export files may also exist in the app's temporary storage.

Optional website requests and external links

If you choose to fetch a public webpage, the app makes a request to that URL using an ephemeral network session without persistent app cookies. The website and its hosting provider receive ordinary connection information, such as an IP address and the requested URL. The app does not sign in, crawl the site or execute its JavaScript. You can use pasted text or a screenshot instead.

Directions, call, message, email, club website, parking and payment links open the relevant system app or external service. A link can pass its destination, address, contact detail or other information encoded in it to that service. The provider's own privacy policy and your settings then apply. Club Circuit does not process payments or collect your payment credentials.

Reminders and the clipboard

With your permission, Club Circuit schedules local notifications through the operating system. Their content may include club names and arrangement details and may be visible on a lock screen, depending on your notification settings. There is no app-operated push-notification server.

Choosing Copy details places the session text on the system clipboard so you can paste it into another app. Clipboard access and any system clipboard syncing follow your device and account settings.

Exports, sharing and backups

You decide when to export and which destination or recipient to use. A session image or plain text can include the club, children attending, time, taking and collecting, venue, parking, kit and session note. Assigned people's phone numbers are opt-in. Check the preview and any free-text note before sending it.

A general .clubcircuit file excludes family assignments and private family information. A family-arrangements file can include children's names, transport and assigned helpers' contacts. Club photos are optional. Birthdays, private child profile notes, profile photos, home postcode and original imported messages are excluded from club files. Calendar exports contain the exported event information.

A .clubbackup file contains all the local family records, including contacts, photos and source messages. Club files and backups use a readable data format and do not have a separate export password or app-level encryption. Keep them private. A session card is a shareable snapshot, not a restorable backup.

If you save to iCloud Drive, Dropbox or another cloud folder, use a messaging service, or enable system backups, those services may receive or retain a copy under their policies and your settings. Anyone you share a file or message with can retain or forward it. We cannot recall or delete those copies.

Your controls and retention

Records remain on the device until you edit, remove or replace them. You can remove child and helper profiles, edit club records, turn off reminders, revoke system notification permissions, and choose which information to include in an export. Archiving a club keeps its records; it does not erase them.

Settings → Clear this device's workspace replaces the active planner after confirmation. It is not a secure erasure of every copy: the previous-save recovery file, temporary exports, files saved elsewhere, recipients' copies and system backups may remain. Subsequent saves can replace the previous-save file. For help removing all app-container data on a particular device, contact support before deleting files, especially if you may need to recover a workspace.

There is no Club Circuit account or server-held family database to delete. We cannot access, recover or erase planner records on your device. You control system backups and files outside the app. The operating system provides its own device security; keep your device protected and manage lock-screen previews according to your needs.

Children's information

The app is a tool for parents and other adults organising family activities. It does not offer child accounts, a public profile, an in-app social feed or direct messaging. Adults choose which children's details to record locally and what to share with trusted helpers. We do not receive that information unless you deliberately send it to us, for example in a support email. Please use fictional or redacted details when asking for help.

Apple services and diagnostics

Apple may separately process App Store transactions, downloads, operating-system diagnostics and other information under its own privacy policy and your settings. Club Circuit does not include its own analytics or third-party crash-reporting service.

Support correspondence

If you email us, we receive your email address and the information you choose to send. We use it to answer your request and investigate the issue. Please remove private family details, locations and messages from screenshots or examples, and do not send a full backup unless necessary and agreed.

Support correspondence is retained while needed to resolve your request and maintain the support record, then deleted when no longer needed, subject to applicable legal retention requirements. You can ask for deletion of your support correspondence by emailing info@wearemachine.co.uk.

This website

These Club Circuit pages contain no advertising, analytics scripts, embedded social widgets, remote fonts or contact form. They do not set app tracking cookies. The hosting provider necessarily receives ordinary connection information, such as your IP address and browser request, to deliver the pages and operate its service. Opening an email link uses your chosen email service and is separate from the app's local planner.

Changes and contact

We will update this page if the app's data handling changes. The date above identifies this version.
