Guide for version 1.0 · Updated 19 October 2026 · App launch in preparation

01 / GETTING STARTED

Build your small team.

  1. On first launch choose Start with my family. You can explore fictional examples first if you prefer.
  2. Open Family and add each child. A name is enough; birthday, photo, colour and private notes are optional.
  3. Add the parents, relatives or friends who help. Choose This is me for the person using this device.
  4. Use the + menu to add a club manually or choose From text or screenshot. Assign the children, schedule and transport, then save.
  5. Check Today for the day strip, child filters, journeys and packing lists. Use Calendar to look ahead and Clubs to find or edit a club.

Adding a helper's name records a plan. It doesn't send an invitation, notify them or confirm they've agreed.

02 / SCHEDULES

Set the term. Adjust a date.

In the club editor, set term start and end dates. Add a session for each weekday and time you need, with its recurrence interval. Add holiday exclusions for half-term or other breaks; the start and end dates of each exclusion are included.

For a one-off change, open the club, choose a date under Next sessions, then adjust that occurrence's time, transport or instructions, or cancel it. Other dates keep their usual arrangement. Removing an override returns that occurrence to the regular schedule.

Club times use the club's time zone. Check it if you travel or import details. Use child filters in the calendar and review clash warnings for overlapping sessions and assigned journeys. Archive a club when the term finishes if you want to retain it.

03 / TAKING & COLLECTING

Two journeys. Two choices.

Each session rule has separate taking and collecting assignments. Choose different helpers for different weekdays, or leave a journey explicitly unassigned until you know who's available.

For alternating arrangements, enable the A/B transport rota, set the anchor date and enter each week's assignments. The anchor uses calendar weeks starting on Monday. Check the generated dates under Next sessions to make sure the pattern matches your plan.

Use a one-session override when a helper changes for a particular date. Confirm the change directly with everyone involved; sharing a new card does not create an acceptance receipt.

04 / KIT, VENUES & TRAVEL

Ready before the door.

Add equipment in the club's kit section, with optional size, notes, last-check date and fit or condition-check interval. Tick items on that session's checklist. Ticks belong to the occurrence: next week's list starts fresh. Suggested checks are adjustable; they are not fixed replacement deadlines.

Record the venue, address, entrance, access notes, collection point and parking information. A parking code or payment link is a reference you enter, not a booking or guarantee of availability.

Enter outbound travel, parking, walking, early arrival and preparation time. Enter collection travel and buffer separately. These are manual estimates, not live routing or traffic predictions.

TIMING EXAMPLE

A 16:00 start, minus 20 minutes travel, 5 parking, 5 walking and 10 early arrival means leave at 15:20. With 20 minutes preparation, get ready at 15:00.

05 / SHARING

Send only what's useful.

A card or text for someone without the app

  1. Tap the share icon on a Today or Calendar session card, beside a date under Next sessions, or choose Share session card or text in the one-session editor.
  2. Check the preview: children, date, time, venue, taking and collecting, parking, kit and the session note. Include assigned people's phone numbers only if needed.
  3. Choose Share image for a PNG card, Save image to save it to Files, Copy details to paste plain text, or Share text for the system share menu.

Messages or WhatsApp may appear if installed and available in the system share menu. The recipient can read the image or text without Club Circuit. Check session notes for private details before sharing. Send a new card after a change.

A club file for another Club Circuit user

Open a club and choose Share club. Prepare a .clubcircuit file and save or share it. The recipient opens it with Club Circuit or imports it using the Add menu, checks the preview and confirms the import.

A general club file excludes family assignments and private family information. A family-arrangements file can include children's names, the rota and assigned helpers' contacts. Club photos are optional. Birthdays, private child notes, profile photos, home details and original messages are excluded from club files. A full backup includes all local data.

Club files are snapshots. They do not keep two devices in sync. Review an update before applying it; the app warns about older copies. A general update preserves local assignments for matching sessions. Calendar .ics export provides upcoming occurrences through the term, up to 370 days; it is also a snapshot.

06 / IMPORTING DETAILS

Start with the message.

  1. Choose Add club → From text or screenshot.
  2. Paste text, use Files / PDF, or select an image in Photos. For a public page, expand Import from a website URL and choose Fetch readable page text.
  3. Choose Extract club details, read the findings and warnings, then Review the club form.
  4. Check every date, weekday, time, venue and payment detail. Select the correct children explicitly and save.

Recognition and extraction run on your device. This is deterministic extraction, not a generative AI service. Missing information stays for review. A missing time can use a flagged 16:00–17:00 placeholder; a missing term end can use a flagged three-month placeholder. Yearless dates, multiple time ranges and sporting age cut-offs need particular care.

Website import reads the page you choose; it doesn't sign in or run the site's JavaScript. If it cannot read a page, copy its text or use a screenshot. Import inside Club Circuit: there is no dedicated WhatsApp share extension for arbitrary messages or images.

07 / REMINDERS

A timely nudge.

Choose This is me in Family, configure the club's reminders and timing allowances, then open Settings → Enable reminders and allow notifications in the system prompt. Journey reminders follow the trips assigned to your selected person.

The app schedules the nearest 60 notifications, refreshed at launch, when it returns to the foreground and when you save. Payment and kit checks share this queue. Open the app regularly and check the reminder summary in Settings. Leaving it unopened for a long time can exhaust the queue.

System notification permissions, Focus and delivery settings affect what you see and hear. Check those first if a reminder is missing. Keep your own reliable arrangement for time-critical collections.

08 / FEES & PHOTOS

Keep the references close.

Record one-off, weekly, monthly, yearly or termly fees separately from how often a club meets. Mark a payment as paid and undo a recorded payment if needed. Club Circuit tracks records; it does not take payments or book activities. A payment link opens the external service you entered.

Each club can hold up to six useful photos. Selected images are resized and metadata is removed from the stored JPEG copy. Include club photos in a shared club file only when appropriate.

09 / DATA & BACKUPS

A copy you control.

In Settings, choose Create backup, then Save or share backup file. Save the .clubbackup file somewhere private. It includes family details, contacts, photos and original imported messages, and has no separate export password.

Choose Restore and select a backup. Review it before confirming: a restore replaces the current workspace rather than merging families. Invalid files are rejected. If a saved file cannot be read, the app protects it from being overwritten; restore a valid backup or contact support.

Clear this device's workspace resets the active planner after confirmation. Back up first. It doesn't delete exported files, shared copies, system backups or every previous-save/recovery copy. See the privacy policy for data controls. There is no app account to delete and no automatic family sync between devices.

10 / FAQ & TROUBLESHOOTING

A few common questions.

Can a grandparent or friend read the plan without installing the app?

Yes. Share a session image or copy its text into a message. A portable club file, by contrast, needs Club Circuit to import it. Neither format updates itself when plans change.

Why isn't my partner seeing the changes?

Records are local to each device. Send an updated club snapshot for review, or send a fresh session card or message. Selecting “This is me” personalises reminders; it doesn't create a shared household account.

Why is taking or collecting unassigned?

Check the session rule, A/B anchor and any one-session override. Removing a helper can leave their journeys unassigned. Select a helper and confirm the plan with them directly.

Why are there no sessions on a date?

Check the child filter, club archive status, term boundaries, recurrence interval, holiday exclusions and cancellation for that date. Check the club time zone too.

Why was an imported date or time wrong?

Extraction prepares a draft and can miss or misinterpret information. Check warnings, placeholders, yearless dates and multiple time ranges against the organiser's original details before saving.

Why didn't a notification arrive?

Check “This is me”, the journey assignment, the club's reminder switches, manual timing allowances, system notification permission and Focus. Open Club Circuit to refresh the queue and check Settings for how far it currently reaches.

Does the app track my location or calculate live travel time?

No. You enter journey times and home or venue details yourself. Opening directions passes the selected destination to the maps service.

Can I get my family data back from you?

We don't receive a copy of the planner and cannot restore it from a server. Restore a backup you saved or consult your device's system backups. Please contact support before clearing an unreadable workspace.

Does it need internet access?

The local planner, packing lists and on-device text recognition don't require an app server. Fetching a website, using external links, sending a message or accessing a file in cloud storage may need a connection and the relevant service.

What devices are supported?

The native app targets iPhone and iPad with iOS/iPadOS 17 or later, with a Mac companion for macOS 14 or later. App Store launch is in preparation.
