INVOQUOTE

SUPPORT / MACOS 13+ / LOCAL BY DESIGN

Your first invoice.

Set up your business once, then fill in the job, check the PDF and send it.

01

Add your business

In Business settings, add your details, VAT and currency. New invoices and quotes use them from then on.

02

Make it look like yours

In Your template, choose a layout, fonts and colours and add your logo. Every PDF matches. Lock the template to stop accidental changes.

03

Write the invoice

Choose the client, add the job and the lines: days, hours, flat fees or expenses. The A4 preview updates as you type. Save keeps a draft.

04

Download the PDF

Save & download PDF confirms the invoice number and saves the PDF. The first time, Invoquote asks which folder to use.

05

Email it

Email to client drafts a friendly email with your subject line. Send it from Apple Mail, Gmail, Outlook or any email app. Invoquote never sends anything itself.

06

Mark it paid

When the money arrives, mark the invoice paid with a date. History shows what is unpaid or overdue and the total still owed.

Common questions

Where is my data?

In one file, Invoquote-data.json. Backup & data shows where it is and has a Show data file button. You can also use File > Show data folder.

How do I back up or move to a new Mac?

Backup & data > Export all data… saves one .json file. On the new Mac, install Invoquote, then go to Backup & data > Import data > Choose a file…. You see what is inside before anything changes.

Can I keep my data in a folder I choose?

Yes, for example iCloud Drive or Dropbox: Backup & data > Move to another folder…. Only use it on one Mac at a time.

Where do my PDFs go?

The first time you download a PDF, Invoquote asks you to pick a folder. Change it at any time in Backup & data.

Why didn’t my invoice number change?

Numbers only move on when an invoice is first downloaded, so previews and drafts never waste one. Re-downloading keeps the same number.

It says a number is already used.

Another downloaded invoice already has that number. Change it, or turn auto-increment back on.

How do I email an invoice?

Use Email to client on the invoice and follow the four steps. With Apple Mail, choose Mail from the menu that appears, then paste the subject with ⌘V. With Gmail or Outlook, attach the PDF from your PDFs folder. Invoquote never sends anything itself.

How do I change the standard email wording?

Business settings > Emails. Placeholders such as {client}, {project}, {total} and {due date} are filled in for each invoice. There is a live preview and a reset button.

Can I dictate?

Yes, with your Mac’s own dictation. Click in a box, then press the microphone key (or Fn twice), or choose Edit > Start Dictation.

“Invoquote can’t open your data folder.”

The folder was moved, renamed or is on a drive that isn’t connected. Choose it again; nothing has been changed or deleted.

Can I have more than one business?

Yes: Backup & data > Profiles. Each profile has its own details, template, clients and numbering.

VAT and currency?

Business settings. VAT can be on, off or 0%, per invoice.

What does it run on?

macOS 13 or later, on Apple silicon or Intel Macs. Invoquote is Mac only.

How do I get a refund?

Refunds are handled by Apple at reportaproblem.apple.com.
